A jazz festival allows patrons to enjoy a variety of musical acts in a single venue. Many festivals have been recognized nationally and internationally and attract visitors from far beyond their location. Though it may take years to garner this garner this sort of reputation, it is possible to organize a small jazz pop r&b instrumentals festival.

While music festivals are held commonly held outside some are held at indoor venues. This is especially true of small festivals that are unable to book a park to hold the event at. It is also a good idea to hold it indoors if an organizer is unable to reasonably prepare for inclement weather. Indoor venue ideas include schools and community centers. A fee most likely will be charged for rental. Other associated expenses include security, parking, insurance and permits.

Sponsors are able to help pay for some expenses. Newspapers sometimes offer to publicize a festival in return for some form of acknowledgement from festival organizers. This may mean banner ads or even title sponsorship. Cash donations are also a form of sponsorship.

Consider an age requirement. It is not unusual for jazz festivals to set a minimum age for admittance. This is primarily done to ensure a certain amount of decorum at the event. Exceptions are generally made for minor accompanied by paying adults. Nonetheless, many festivals do not have age minimums.

Make a decision about the kinds of acts to feature. Festival organizers may want to only feature instrumentalists. Or, they may want to add a few vocal groups or solo artists to the mix. Organizers also need to make a decision about genres. They may decide to showcase only acts that fall within the definition of the three genres. Conversely, festival organizers may take a broader approach and showcase acts from related genres such as rock, blues, gospel and soul.

Search for musical acts. For small festivals, put up signs at schools, libraries, restaurants and music stores to get local acts to apply. The booking process can be based on an audition, electronic submissions as well as name recognition. Compensation in the form of exposure may be acceptable to local talent. If an organizer suggests that the festival include a national or regional act be prepared to pay. Organizers can book more established acts by posting on gig sites, social media or contacting a booking agency.

Advertise the event. Free places to advertise include general classified sites, message boards, blogs and social media sites. A media sponsor gets the word out to even more people. If you have a regional or national act, it is possible to have the event included in the entertainment calendar of events in the local newspaper. Do not forget to put up fliers.

Vendors are a way to keep festival goers from becoming bored in between musical acts. Try to find vendors that sell items such as books, jewelry, artwork and food. Organizers can also allow musical acts to sell their merchandise as well. Find out how much space the venue has for vendors before looking for them.

A successful jazz pop r&b instrumentals festival is often the result of a lot of planning. Even a small festival takes months to fully plan out. If the event gets regional or national attention, consider making the festival an annual event.
